Guidelines for using RefWorks

Exporting Records from the OhioLINK Library Catalog

On the OhioLINK Library Catalog search page, conduct a search on the topic of your choice.

On the search results page, select records of interest by clicking on the Save Item button on the left side of each record.

NOTE: If you’re looking at the full record for an item, click on the Save for Export button at the top of the screen.

When you’re finished selecting records, click on the View Saved Records button at the top of the screen.

Select the following options: End-Note/RefWorks AND Local Disk.


Click on Submit.

Save the resulting file to a location on your computer, perhaps the desktop. You can change the name of the file if you like.

Go to RefWorks. Mouse over References at top left in the toolbar and click on Import.

You’ll have several selections to make on this screen:

o   Import Filter/Data Source: select Bluffton University.

o   Database: select OhioLINK Catalog (Endnote/RefWorks Format).

Click on Choose File to find the file you saved to your computer. Find and select the correct file, then click on Open. The file name should appear in the box next to Choose File.

Click on the Import button at bottom right.

On the resulting page, you should see a line that says: Import completed.

On this screen, you will have the option to Edit Imported References – if you click on this, it will give you the chance to edit as a group all the references you have just imported. For example, you can:

  • amend the name of the database from which you exported (for example, OhioLINK Library Catalog)
  • add the records to specific folder.
  • If you make changes, be sure to click on the Save Changes button.

After you've done the above, you may also wish to click on View Last Imported Folder (option at bottom right) – you can view all the references you've just imported. It’s always a good idea to check individual records to be sure they imported properly, or to see if there's something in the record that you want to change.

To see a record in greater detail, you can click on the magnifying glass symbol to the right of the record. Then on the resulting screen, if you want to make changes, you can click on the Edit button (or you can go directly to the edit screen by clicking on the pencil-over-paper symbol to the right of the record).

Be sure to click on the Save Reference button after you've made any changes.
